Policies

Tuition and Payments

Tuition is paid to reserve your lesson space each week, therefore, all lessons must be paid regardless of the attendance of the student. Refunds or credits will not be given for lessons missed or canceled by the student.

Payments Online: Online payments can be made through Studio Director here. Add a 3% fee to all online credit/debit card payments. 

AutoPay: Families have the option to sign up for automatic withdrawal through their account on Studio Director. Account balances will be charged to the card on file on the 16th of each month. Add a 3% fee to all automatic payments. 

Payments in person: If paying in person and no one is at the desk to take payment, please drop payment (with student's name) in the lock box mounted on the front desk. Envelopes for cash payments are provided on the front desk. 

Payments by mail: Checks can be mailed directly to BCAPA at 300 E 27th St, North Newton KS 67117. 

Please note: All tuition payments are due by the 15th of each month. A second notice will be sent to past due accounts on the 22nd of the month. If payment has not been received by the first of the following month then students will be suspended from lessons and/or classes unless a payment arrangement has been made with BCAPA’s Executive Director. 

Annual Fees

➢ Registration Fee- A $30 Annual Family Registration fee is due at the time of registration for all classes and lessons.

➢ Performance Fees- Annual performance fees for music and dance students are due October 15th or at the time of registration. These fees cover the cost of performance related expenses for recitals throughout the year. All students are expected to pay a performance fee unless the student opts out of performances at the time of registration. See the current registration packet for music and dance performance fee amounts.

Missed Lessons or Classes

➢ Music Lessons and Group Classes: As a courtesy, absences should be communicated to the instructor at least 24 hours in advance. There are no refunds or credits for lessons missed or cancelled by the student. For lessons cancelled by BCAPA or the instructor makeup lesson times will be offered, or credit will be added to the student’s account to be used towards future payments.

➢ Dance Classes: If a student must miss a class, they are welcome to attend another class similar to or below their level of technique during the month of the absence. Please check with your instructor for a list of appropriate classes. There are no refunds or credits for missed classes. For classes cancelled by BCAPA makeup class times will be offered, or credit will be added to the student’s account to be used towards future payments.

➢ Sick Policy: If a student must miss lessons and/or classes due to a contagious illness or other health condition, please contact your instructor immediately. Report how long the student expects to be absent. In some cases, a doctor’s note may be required to return to lessons and/or classes.

➢ Inclement Weather: In the case of inclement weather, BCAPA will communicate any cancellations via email and social media posts. While BCAPA does not follow local school cancellations directly, BCAPA is advised by area cancellations and strives to make final decisions regarding weather cancellations at least 1.5 hours before lessons begin that day.

Withdrawal Policy

By enrolling you are reserving your spot for the full year of classes or lessons. Fall registrations will automatically be rolled over into the Spring semester as long as accounts are current and families have not notified us of any changes.

BCAPA must be notified of all early withdrawals from lessons by the 5th of the month. If notice is not given via email to the Executive Director by the 5th then the family account will be charged tuition for the next billing cycle that starts on the 15th. If a student misses four consecutive weeks of classes/lessons without any communication or response from BCAPA staff then they will automatically be dropped from lessons in studio director and their spot will be forfeited. Tuition will not be prorated or refunded for students who drop classes or lessons mid billing cycle.

Tuition Assistance Scholarships

BCAPA offers needs-based music and dance scholarships each semester. To apply for financial aid please complete a scholarship application form here and email it to bcapa@bethelks.edu prior to registering. Scholarship applications will go through a review process and approval is not guaranteed. Please note that scholarship families are required to volunteer at BCAPA events throughout the semester.

Student Waiver and Photo/Video Release

All students must accept the student waiver and photo release form on our enrollment software, Studio Director. When you enroll your student, you are giving consent to BCAPA to use photographs and video of your child for marketing and advertising purposes, including social media. Students’ names will not be published alongside photos without parent permission. If you want to opt out of the photo/video release then you will need to contact the Executive Director. If you opt out, your student may not be included in performances that are photographed or recorded. BCAPA can not guarantee that your child will not be in photos or videos taken at BCAPA.  If you are unable to accept the waiver and release online then paper waivers may be provided upon request.

Drop-Off Expectations

In the interest of safety, students must be accompanied to and from their classes by an adult. Families are expected to pick up their children promptly at the end of lessons and/or classes and to call BCAPA if they will not arrive on time. Instructors will ask students to wait for pick-up in our front lobby area.

Accompanying Young Children

Children age 10 and under MUST be accompanied at all times by a parent or responsible guardian.  Guardians must be present in the same room with young children at all times in the playroom, lobby, and other public areas. BCAPA faculty are not responsible for children present before or after their given class or lesson time.

Parking at Bethel College

Families are invited to use the loading zone in front of Mem Hall when dropping off or picking up only. Additional parking is available to BCAPA students and faculty in the Sports Parking Lot behind Mem Hall or Kauffman Museum Lot on W 27th Street.
